NDIS Plan Management in WA: What It Is, What It Covers, How to Start

NDIS plan management is a funded support that pays your providers' invoices, tracks your budget and keeps your records in order, so you can use registered and unregistered providers without handling the paperwork yourself. It is paid separately from your support budget, so it does not reduce the money you have for therapy, support workers or equipment. This guide explains what plan management is, what it covers, what it does not cover, and how to start in Western Australia.

What is NDIS plan management?

If your NDIS plan includes plan management funding, you choose a plan manager to handle the financial side of your plan. Your plan manager receives invoices from your providers, checks them against your plan, pays them from your NDIS funds and gives you regular updates on what you have spent.

You stay in control of the decisions that matter. You choose which supports you use and who delivers them. The plan manager does not decide your goals or book your services. Their job is to make sure payments are accurate and on time, and that your budget does not run out unexpectedly.

How is it different from self-managed and NDIA-managed plans?

Every NDIS plan is managed in one of three ways, and some participants use a mix. The table below sets out the main differences.

Plan management sits in the middle. You get the wide choice of self-management without taking on the admin, and you are not limited to registered providers as you are with NDIA management. What does NDIS plan management cover?

Plan management funding pays for the plan manager's work. This includes:

  • Paying invoices. Your plan manager pays your providers from your funds, so you do not need to pay and claim back.
  • Checking invoices. They confirm each invoice matches your plan, the support delivered and the agreed price before paying it.
  • Budget tracking. You see how much you have spent in each part of your plan and how much is left.
  • Reporting. You receive regular statements, which makes plan reviews easier.
  • Reimbursements. If you paid a provider yourself, your plan manager can reimburse you from your plan.
  • Record keeping. Your payment history is stored, so you do not have to keep every receipt.

Your plan manager also helps with a common problem: spending too fast. When you can see your budget clearly, you can adjust before funds run out early.

What is NDIS plan management funding paid from?

Plan management is funded under Capacity Building – Improved Life Choices in your NDIS plan. It is a separate line, so it is not taken from your core supports, your other capacity building supports or your capital supports. The cost is paid by the NDIS within the price limits it sets. What does plan management not cover?

It is just as important to know what plan management is not. A plan manager does not:

  • Choose your supports for you. That is your decision, often with help from a support coordinator.
  • Coordinate your services. A plan manager does not find providers, book appointments or run meetings between your providers.
  • Increase your budget. The amount in your plan is set by the NDIA. A plan manager can show you how it is being spent, but cannot add funds.
  • Pay for things outside your plan. Invoices must match supports that are in your plan and meet NDIS rules.
  • Replace your plan review. Your plan manager's reports help you prepare, but you still go through the NDIA review process.

Who is plan management a good fit for?

Plan management is a popular choice because it suits many different situations. It is often a good fit if you:

  • want to choose from both registered and unregistered providers;
  • prefer not to handle invoices and claims yourself;
  • use several providers and need someone to keep payments organised;
  • have a family member or carer who already has a lot to manage;
  • live outside Perth and rely on smaller or local providers who are not registered;
  • want a clear record of spending to help with your plan review.

If you only use a small number of registered providers and do not mind the admin, self-management or NDIA management may also work. The best choice is the one that fits how you live.

How to start with NDIS plan management in WA

Getting started is straightforward. Here are the steps, from checking your plan to your first payment:

  1. Check your NDIS plan. Look for plan management funding under Capacity Building – Improved Life Choices. If it is there, you can choose any plan manager.
  2. If it is not there, ask for it. You can request plan management at your next plan review or through a change request. Your support coordinator or planner can help you ask.
  3. Choose a plan manager. Compare providers on how quickly they pay, how clearly they report and how easy they are to reach. Use our checklist for choosing a plan manager.
  4. Sign a service agreement. This sets out what your plan manager will do and how either side can end the arrangement.
  5. Tell your providers. Give each provider your plan manager's details so they send invoices to the right place.
  6. Use your supports as normal. Your plan manager pays valid invoices and keeps you updated on your budget.

You can change the plan manager at any time, so you are not locked in if the service is not right.

What to look for in a WA plan manager

Western Australia is large, and what suits a participant in Perth may not suit someone in the Kimberley or Great Southern. When you compare providers, look for:

  • Registration. Check that the provider is registered with the NDIS Quality and Safeguards Commission using the NDIS Provider Finder.
  • Prompt payment. Ask how long it takes to pay a valid invoice.
  • Clear reporting. You should be able to see your budget without chasing anyone.
  • Local understanding. A WA-based team knows local providers and how support works across the state, including regional areas.
  • Clear terms. You should understand the agreement before you sign, with no hidden charges for standard services.

  • Will I lose control? No. You keep full control of which supports you use and who provides them.
  • Will it reduce my funding? No. Plan management is its own line in your plan.

  • How will I know what I have spent? Your plan manager sends regular budget updates.
